Recording Cash Payments

How to record money you receive or spend in cash, outside your bank accounts.

Cash payments do not appear automatically, because they never pass through a connected bank. To record them, create a cash account once, then add each payment manually.

Create a cash account (once)

  1. Go to Bank Accounts and click Add Manual Account.
  2. Fill in Account name: Petty Cash, Bank name: Cash, and choose an Account type.
  3. Set the Opening balance to the cash you have today and the Opening balance date to today.
  4. Click Save Account.

Record a cash payment

  1. Go to Transactions and click Add Transaction.
  2. Fill in the Date, Contact, Description and Amount.
  3. Choose Type: Money Out for a payment you made, Money In for cash you received.
  4. Choose Bank account: Petty Cash, and the right Category.
  5. Click Save Transaction, and save the receipt in your receipts folder (see What to Do With Your Receipts).

Withdrawing or depositing cash

When you take cash out of the bank to put in Petty Cash, or deposit cash into the bank, it is a transfer between your own accounts. Record the Petty Cash side as a manual transaction and make sure both sides are treated as a transfer (see Transfers Awaiting Their Pair).

Keep cash use to a minimum. Bank and card payments leave a clear record and save you time.
