Personal and Business Expenses

What to do when you pay a business expense personally, or a personal expense with the company account.

Keep business and personal money separate. It makes your books accurate and protects your company. Mistakes happen, and Fynance lets you fix them in a few steps.

You paid a business expense with your personal card

The expense does not appear in Fynance because it did not go through a company account. The cleanest way to record it is to reimburse yourself.

  1. Save the receipt in your receipts folder (see What to Do With Your Receipts).
  2. Send yourself the same amount from the company bank account to your personal account.
  3. When that payment appears in Transactions, open it and set:
    • Contact: your name.
    • Category: the real expense, for example Software & Subscriptions.
    • Description: "Reimbursement: Adobe, paid on personal card on Oct 12".
  4. Click Confirm.

If you do not want to reimburse yourself, the expense counts as money you put into the company. Ask your accountant how to record it.

You paid a personal expense with the company account

  1. Open the transaction in Transactions.
  2. Set the Category to Member's Draws / Distributions. It is money taken out of the company for you, not a business expense.
  3. Add a short Description and click Confirm.

You put personal money into the company

When you send money from your personal account to the company account, categorize the incoming transaction as Member's Contributions. If the money is a loan that the company must pay back, see Loans Between You and Your Company.

Never categorize personal spending as a business expense. Ask Fyn if you are unsure about a specific transaction.
