How to Create an Invoice

Set up your invoice details, then create, send or schedule invoices for your clients.

Set up your invoice details once, then each new invoice takes three short steps: who you are billing, when it is due, and what you are charging for.

Before your first invoice: set up Invoice Settings

  1. Go to Invoices and click Settings.
  2. Company Logo: click Upload Logo (PNG or JPG, recommended 200x80 px).
  3. Company Information: confirm the company name, add the Billing Email (required; clients reply to this address) and your Address. Empty fields stay off your invoices.
  4. Default payment method: choose Pay online with Stripe (a Pay online button; clients pay by card or bank debit) or Bank transfer (clients send ACH or wire). Only one appears on the invoice. Stripe must be connected for the first option (see How to Connect Stripe).
  5. Bank Account Details: pick an account under Select Bank Account to auto-fill, or type the bank name, account name, account number, routing number, and optionally SWIFT/BIC and IBAN for international clients.
  6. Click Save Changes.

Optional: save your products and services

  1. On Invoices, open the Products & Services tab.
  2. Click New product or service, enter the name and unit price, and save.
  3. When you create an invoice, you pick items from this list instead of typing them again. Use Edit to change a price, or set an item to Inactive.

Clients are managed the same way on the Contacts tab.

Create and send the invoice

  1. Click Create Invoice.
  2. Who are you billing? Select a Contact, or click + New contact and fill in Name, Email, Document (tax ID), Address and an optional Description, then click Create.
  3. When is it due? Set the Payment terms (for example, Net 15), Issue date and Due date. The due date follows the terms unless you change it.
  4. What are you charging for? For each line, select a product, then set Qty, Unit price and an optional Discount ($ or %). Add a description your client will see. Click Add item for more lines, or + New product or service to create one on the spot.
  5. Add an invoice-level Discount if needed and check the Subtotal and Total due.
  6. Add Notes (for example, payment instructions or thanks).
  7. Click Preview to see the invoice as your client will.
  8. Click Send invoice to email it, or Save draft to finish later. Cancel closes without saving.

Make it recurring

  1. In step 2 of the form, turn on Make recurring.
  2. Choose the Frequency (for example, Monthly), the First issue date and the Ending condition (for example, Never).
  3. Click Create recurring invoice. Fynance creates and sends each invoice on schedule. Manage these on the Recurring tab.

Track your invoices

  • Summary cards: Total invoiced, Awaiting payment, Overdue, Paid.
  • Filter by status: All, Draft, Awaiting payment, Paid, Overdue, Canceled, search by invoice, contact or description, and filter by Issue date.
  • Invoices paid through Stripe are recorded automatically as revenue in Transactions.
